General Responsibilities

  • Manage and maintain Principal calendar scheduling appointments, meetings, and conferences scheduling
  • Manage personal and business financial matters; including expense reports and credit card accounts
  • Coordinate point-to-point travel needs (car, flight, hotel, etc.)
  • Run personal errands which could range from picking up dry cleaning to booking theater tickets and to getting lunch
  • Assist the Principal with managing and prioritizing daily workload
  • Organize and maintain filing system (both electronic and paper)
  • Greet visitors in a professional and courteous manner
  • Answer phone in a courteous and professional manner
  • Prepare expense reports
  • Provide production support including slide generation, graphics, proofreading, editing, copying, printing and book binding
  • Receive, screen, sort and prioritize all incoming mail and email; respond to inquiries as needed
  • Provide general administrative support for any practice area
  • Maintain highest level of internal and external confidentiality
  • Provide back-up production and administrative support to co-workers
  • Anticipating what the Principal will need and planning ahead for it.
  • Preparation and logistics for in-house meetings
  • General Qualifications

  • 3+ years of experience with providing executive–level administrative support in a large, corporate environment
  • Experience with managing a calendar, making travel arrangements, and managing expense reports
  • Experience with Microsoft Office, including Word, Excel, PowerPoint, and Outlook
  • Knowledge of business correspondence and drafting letters and memos for executive signature
  • Ability to multi-task independently in a fast–paced environment
  • Ability to proofread for grammar and punctuation with a high level of accuracy
  • BA or BS degree
